Privacy notice for AI at Work.
This notice explains how Online Web Presence uses personal information submitted through the AI at Work waitlist.
Who is responsible for your information

Information we collect
The waitlist asks for your name, email address, optional mobile number, role, a description of your organisation and its size, your current level of AI use and the AI tools you use, your date preference, your readiness to book, your waitlist acknowledgement and, where you choose to give it, your marketing consent.
It also asks about the work you want help with: the tasks you would like to improve, a description of how you currently do them, what makes them difficult, roughly how much time they take and how often, the outcomes you want, and optionally what improvement would feel meaningful and what work you would hand to a capable assistant.
A sensitivity question asks only which categories of information a process involves, such as customer or financial information. It does not ask you to submit that information itself.
Please do not submit confidential client information, personal data about other people, legally privileged material or sensitive case information. Describe the type of problem rather than sharing identifiable details.
We do not request special-category information as part of the waitlist.
Technical and security information
When you submit the form, the submission service may process your IP address and request information for submission security, abuse prevention and rate limiting. Rate-limit counts are held temporarily by the service. Vercel may also process technical request and log information in order to deliver and secure the website and submission service. We do not use this information for advertising.
How we use your information
We use waitlist information to:
- receive and manage expressions of interest;
- assess demand for the provisional workshop dates;
- contact people about their AI at Work registration;
- administer workshop invitations and bookings; and
- manage attendance and operational records relating to AI at Work.
If you provide a mobile number, we use it for AI at Work workshop administration. We do not use your mobile number for marketing.
We rely on legitimate interests to operate the AI at Work waitlist, assess demand, respond to registrations, administer the workshops and communicate with registrants about the workshop they expressed interest in. Online Web Presence has a legitimate commercial and operational interest in organising the AI at Work workshops, understanding demand and responding to people who have asked to join the waitlist. You have the right to object to processing based on legitimate interests.
Marketing choice
Optional email marketing is based on consent, not legitimate interests. Marketing consent is separate, optional and unticked by default. You do not need to consent to marketing to join the waitlist. If you consent, you can withdraw that choice at any time by emailing keno@onlinewebpresence.net.
Service providers and international processing
Online Web Presence currently uses Airtable to store and manage AI at Work registration records, and Vercel to host and operate the AI at Work website and server-side submission service.
The AI at Work project is on Vercel Pro. Vercel's Data Processing Addendum applies to Pro customers. Where a restricted UK transfer applies, the DPA includes applicable contractual transfer safeguards.
Airtable and Vercel are international service providers and personal information may be processed outside the United Kingdom. Where a restricted transfer applies, Online Web Presence will rely on appropriate safeguards made available under the applicable provider arrangements, such as approved contractual transfer mechanisms where applicable.
How long we keep information
We normally retain AI at Work registration information for 12 months after the final AI at Work workshop or the end of the associated campaign activity, whichever is later. We may retain limited information for longer where this is necessary for legal, accounting or dispute-resolution purposes.
This registration retention period does not determine how long marketing data is kept if a different marketing retention policy later applies.
Analytics
No website analytics or behavioural tracking tools are currently enabled for the AI at Work launch.
Your data protection rights
Depending on the circumstances, you may have the right to access your personal information, correct inaccurate information, ask for deletion in appropriate circumstances, restrict certain processing, and object to processing based on legitimate interests. You can withdraw marketing consent at any time. Withdrawing consent does not affect earlier lawful use.
